AUDIT OF BOOKS IN THE BASIC FUND OF THE NATIONAL LIBRARY

The Commission for the Audit of Books (monographs), composed of Milorad Milović, President, and Boris Kaluđerović and Dragan Mirković, members, was appointed on January 24, 2019 with the task of drafting an Audit Plan, which will determine the method of work, sequence of procedures, as well as other necessary measures defined by the provisions of the Rulebook on the procedure, deadlines and manner of auditing library funds. The scheduled deadline for submitting the report on the completed audit was April 30, 2021. The Commission submitted the detailed Book Audit Plan to the Expert Council of the Library for consideration and adoption, and it was accepted at the session of this body held on March 8, 2019.

Books are the most frequently used library material, and at the same time they represent the most physically extensive material in NLM. They are located on two floors of the central depot within six signature series: I, II, III, IV, IV and V. The numerical balance by signature sequences is as follows: I - 237,000, II - 185,000, III - 48,500, IV - 5460, IV - 5250 and V - 180,000 signature numbers, which totals 661,300 titles, or 692,670 physical units. All titles are neatly recorded in 124 signature books, starting from April 7, 1947, ending on September 20, 2019 (period of 72 years). The audit process was carried out by comparing the data obtained by direct insight into the current state of each copy of the book with the data entered in the signature books.

Considering that this is one of the most extensive and complex library-administrative tasks, before starting work in the depot, all preconditions were provided, including detailed instructions for performing tasks and keeping records on each title, as well as the necessary material for work. The working groups included two members, employees of the Library, and each was in charge of one inventory book. During the audit, the shelves and books were thoroughly cleaned.

Audit work started on April 1, 2019 and  it was completed on May 13, 2021  which means that in just over two years a total of 692,670 units of library material was reviewed, compared with the data in the inventory books, cleaned of dust and recorded for repair.

The library has also been continuously working on the audit and reorganization of the accommodation of the basic fund of newspapers for more than two years, and the final reports and records of the revision of the Old Book Collection in the former French embassy are being completed.
